You will receive an email from Timesheet Notifications advising there is a timesheet to review and approve:
Within the email, there will be a secure link to click on to review the timesheet:
This link will open a secure webpage for you to review the timesheet and either approve or reject.
It is important to review their start and finish times, along with their recorded breaks and ensure this is in line with their scheduled shifts.
BREAKS
You can see the start, finish and break duration under each day. You will see a knife & fork icon to indicate the break taken.
If you don't see a knife & fork icon under the clock icon with break start, finish times and break duration, they have not entered a break on that day.
It is advised you clarify with the Temp to confirm if they did take a break and may have not recorded it, or if they didn't take a break, as this can impact overtime and meal allowances.
CHECK IN/CHECK OUT
If you also request Temps check in and check out each day & this is enabled for your temps, you'll also see their check in & check out times under each day. If you don't see any check in or check out time, this means they didn't check in & out on that given day.
Rejecting a timesheet
- If you tap reject, you will need to provide a reason for the rejection that will go back to the temp advising why it was rejected & then confirm you wish to reject the timesheet. For example, you may wish to clarify a missing break or note the start or finish time isn't in line with the times they started or finished.
- The Temp will receive a confirmation that their timesheet has been rejected and provide the reason why.
- They will need to make any necessary amendments to the timesheet and submit it for approval again.
- You will get a new email with a new approval link after they re-submit their timesheet.
Approving a timesheet
- If you tap approve, the timesheet will be processed and the Temp paid in the upcoming pay run.
- The Temp will also receive a confirmation that their timesheet has been approved
Approval Reminders
- If the timesheet is not approved by Monday morning (the week following the timesheet period) the primary approver will receive a reminder.
- If the timesheet remains unapproved by Monday afternoon, both the primary approver & secondary approver will receive a reminder & either can approve the timesheet
Didn't receive an approval email?
If you don’t receive the email request but your Temp advises they submitted their timesheet, please check your junk & spam folders. You may also need to check with your IT Department in case the email has been blocked by your company's firewall.

Please note as the timesheet was submitted via the flexhive app, you can’t approve the timesheet via Astute. If you are having issues approving via the flexhive app, please reach out to our support team so we can help resolve the issues you are facing.
